Usability & Setup Experience
ClickUp’s initial setup follows a clear, step-by-step onboarding process that guides you through defining your workspace and inviting team members. This structure helps you move quickly from sign-up to productive use, and within minutes you can begin building out live projects.
That said, the left-hand navigation menu can feel overwhelming at first. The layered hierarchy of Spaces, Folders, and Lists introduces significant structural depth early on (see screenshot below), which results a noticeable learning curve for new users.

The “Everything View” gives managers broad visibility across projects without forcing them into day-to-day task management. It creates a useful link between detailed execution and higher-level planning.
There is a learning curve at the start. However, that early complexity is balanced by the level of control and structure the platform ultimately provides.
Real-World Workflow Fit
ClickUp’s custom status system allows teams to design workflows that reflect their real operational processes rather than relying on generic task stages. This flexibility means the platform adapts to existing project structures instead of forcing teams into a predefined workflow model. Statuses can be customized at different hierarchy levels, making it possible to manage complex client projects or internal processes with greater precision.
During testing we created a multi-stage client delivery workflow using custom statuses, which allowed tasks to move between development, review, and deployment stages without changing the overall board structure.
For Agile teams, ClickUp also includes built-in Sprint management and Burndown charts. These tools provide clear visibility into sprint progress and team workload without requiring additional reporting software. In many cases, this helps teams consolidate project management and performance tracking within a single platform.

ClickUp’s combination of Docs and Dashboards creates a centralized workspace that reduces fragmented workflows and constant tab switching. Dashboards allow teams to quickly assemble a live, high-level overview of activity across projects, while embedded content in project documentation helps distributed teams maintain shared context.
ClickUp also provides strong visualization tools. The Gantt chart view offers a clear timeline of project activity and can be generated at multiple hierarchy levels—from individual task lists to client projects or even a master workspace view. This flexibility makes it easier for teams to track dependencies, deadlines, and overall project progress.
Notably, both the Gantt chart and calendar views are included in ClickUp’s free plan, making these advanced planning tools accessible even for smaller teams or early-stage workflows.

Technical teams can link code commits directly to task IDs, improving traceability from development through deployment. These API capabilities allow ClickUp to integrate deeply with engineering workflows, although more advanced customisation may require technical knowledge.
Custom fields are another standout capability. They allow teams to track specific metrics such as ROI, billable hours, deadlines, or project difficulty directly within tasks. In our setup, we created a custom field to track website build difficulty across client projects, using simple categories such as Gold, Silver, and Bronze. The configuration process was straightforward, and the field was easily applied across tasks and workflows.
Teams working with large datasets should note that extensive use of complex fields can occasionally slow view loading. Despite this, ClickUp maintains a consistent interface across modules, which helps keep navigation intuitive even as project data grows.
Reliability, Support & Limitations
During testing, the ClickUp interface remained stable and responsive even as board complexity increased. This level of reliability is important for agencies and teams managing multiple active projects simultaneously. We did encounter a few error messages while attempting to create a Gantt chart, although these were resolved quickly after refreshing the browser.
Our support testing also highlighted some limitations in ClickUp’s AI-first assistance model. The help system uses an AI agent powered by Maven. We submitted a question about removing redundant status sets, but an immediate answer was not available. Because the interface did not allow us to upload a screenshot, we had to explain the issue to the AI assistant in text. On the second attempt we were able to resolve the issue, although the explanation required careful interpretation.
This experience suggests that ClickUp’s support tools are capable but can occasionally struggle with more complex, context-specific questions—particularly when screenshots or visual references would help clarify the problem.
Offline access remains a challenge for teams working in areas with unstable connectivity. Compared to “always-on” competitors, this requires more deliberate planning around data entry and updates.
That said, the platform’s frequent updates suggest a clear focus on long-term scalability. Core infrastructure is stable, though improving mobile functionality remains the next logical step.
