Monday.com’s onboarding process is highly visual and built around its “Work OS” framework. During setup, users can choose from a wide range of industry-specific templates designed to help teams move quickly from sign-up to a working project board. In many cases, this allows teams to begin organizing tasks within minutes.

The interface is intuitive, but the platform offers a wide range of customization options. During testing, we found that structuring boards and workflows required some initial planning. Monday.com supports multiple approaches to organizing work — for example, teams can create separate boards for each client or manage several clients within a single board using groups.

To explore these options, we tested both approaches. Ultimately, we used a structure where each client was represented as a group within one board. This provided a clear overview of activity across multiple clients while keeping the workspace manageable. However, identifying the best structure did require some experimentation, which new users should expect during initial setup.

During testing, we created an automation that sent an email to a nominated stakeholder when an item’s status changed to “Awaiting Client Sign-Off.” The automation builder allowed us to write a custom message and automatically insert task metadata from the board into the email.

This type of rule-based automation helps reduce manual follow-ups and keeps project updates consistent across teams.

As boards grow more complex, teams may need to carefully manage automation rules to avoid confusion. However, when implemented clearly, Monday.com’s automation tools can significantly streamline project management workflows and improve team coordination.

Features & Capability Depth

Once our workspace was configured, Monday.com provided quick access to a range of data views and visual reporting tools. During testing, the Gantt chart and calendar views were particularly useful for visualizing project timelines and dependencies. These views were available in our trial but are not included in the free plan, which is an important consideration for teams evaluating the platform.

Each view also supports additional customization. For example, the Gantt view allows widgets to be added alongside the timeline to display supporting data. In our test environment, we added a simple “battery” style widget to illustrate the proportion of task statuses across the board. This provided a quick visual summary of overall progress.

Filtering options also proved flexible. Tasks could be filtered by client, task owner, or status, allowing teams to quickly isolate specific workflows or responsibilities. The ability to carry color-coding from the main table view into other visualizations helped maintain consistency when switching between views.

Overall, Monday.com offers a strong set of visualization tools that allow teams to monitor project progress from multiple perspectives. While some of these capabilities sit behind paid plans, they significantly expand the platform’s reporting and workflow management flexibility.

Custom columns are a key feature in Monday.com, allowing teams to track structured data such as project budgets, timelines, ownership, or ROI directly within each board. This helps centralize important project information and improves visibility across workflows.

Organizations working with very large datasets should note that heavy use of formula columns can occasionally affect board refresh speeds. Despite this, Monday.com’s consistent board-based interface keeps navigation clear and manageable even as projects become more data-rich.

Monday.com also includes an AI assistant called Sidekick, designed to help automate small tasks and provide contextual suggestions within project workflows. The feature appears directly within the main board view and can be triggered alongside individual items.

During testing, we activated Sidekick on a task titled “Agree date for kick-off meeting.” The assistant generated a suggested meeting agenda based on the task context, which provided a useful starting point for planning the session. While the output still required manual review, it demonstrated how the tool can support routine coordination tasks.

The Monday.com AI Sidekick is not available on the free plan. Standard and Pro tiers include Sidekick Lite, which allows up to five AI actions per day, while higher-tier plans expand the number of available AI interactions. For teams that frequently manage meetings, task planning, or documentation, the feature may help streamline small administrative steps within a project workflow.

Reliability, Support & Limitations

During our performance testing, Monday.com remained consistently responsive. Actions such as moving tasks, updating statuses, and switching between boards were processed quickly, even when working across multiple workflow stages. The interface maintained smooth navigation throughout testing, with no noticeable delays when interacting with cards or switching views.

To evaluate support, we contacted Monday.com directly with a question about adding images within a Kanban workflow. Support is delivered through an AI assistant named Tim, which appears within the platform and resembles a purple llama avatar. The assistant responded immediately and correctly helped us with our problem. Within a short interaction, it provided guidance that resolved the issue and directed us to relevant documentation.

We also tested the assistant further by asking additional questions about the remaining trial period and plan details. The system was able to correctly recall information about our account  and point us toward the appropriate settings. This suggests that Monday.com’s support assistant is closely integrated into the platform rather than functioning as a separate external help widget.

While AI-based support may not fully replace human assistance for more complex issues, the built-in system handled our queries efficiently during testing and provided clear guidance without requiring external support tickets.

Reliable offline access is still a challenge for teams working in remote locations without stable connectivity.
